Glenigan has updated its privacy policy to make it more detailed and to reflect new laws such as the Electronic Communications Data Protection Directive 2002 and similar legislation. If you are an existing user of Glenigan services please be aware that we have NOT reduced your privacy rights nor added new purposes of processing your data for existing services.

The changes we have made to our Privacy Policy enable us to provide you with more detailed information about:

  1. The types of personal information Glenigan collects from you
  2. Information we collect via our registered services (generic types of data accessed, times and volumes of data and traffic data)
  3. Our storage methods and the duration for which we keep information

Privacy Policy / Data Protection Notice

Glenigan respects your privacy and seeks to protect your personal data. The following information describes how we gather and use data. The amount of information Glenigan holds on you and how it uses it depends on your relationship with Glenigan and on what service you use, so some of the sections below may not be relevant to you.

What we use your personal information for

Glenigan collects and uses your information to administer, support, improve and obtain feedback on our services and to detect and prevent faults, breaches of our network security, the law or our contract terms. We will also use all this information to assess what Glenigan products and services may be of interest to individuals and to personalise our service and marketing. If you are registered to use a service we may contact you to obtain feedback on that service and any improvements we could make to it.

Further information/marketing

If you submit your details for a free trial or to obtain a sample pack, or if you enter into a contract for supply for either a subscription or single delivery of data with Glenigan, we may contact you about other services to which you do not subscribe but which may interest you. We may for example invite you to join a free trial of a new or existing service. Sometimes we may invite you to client entertainment and similar events. Such contact may be by post, fax, email, and (in certain limited circumstances) by telephone from time to time. You have a right to ask us at any time not to contact you by way of direct marketing. You can do this by contacting webinfo@glenigan.emap.com with the words "personal details" in the subject line. You will then no longer receive invitations for events or free trials.

Personal Information Glenigan collects

The Glenigan collects and updates information about users of its services. It may obtain this information via direct contact with you, from third parties such as your employer or another one of our suppliers and automatically via your use of our services.

Information you/others give us: This information includes your contact details, registration and payment details, support problems, details around participation in events, prize draws or surveys and certain relevant details of your preferences.

Information we collect via our services: If you are a registered user of our services Glenigan also gathers information about your use of our services, such as generic types of data accessed, times and volume of use of the services and Traffic Data. Traffic Data includes logs, details of networks, data and systems accessed, details of the sender and recipients of messages sent over our services, times and location of log on or access, duration of sessions, clickstream and similar usage or system data. Traffic Data may sometimes be traceable to/related to not just companies but named individuals. Before you register with the Glenigan, however, you can browse Glenigan web sites anonymously.

Upon request we provide site visitors with access to all information [including proprietary information] that we maintain about them including unique identifier information (e.g. customer number or password) and contact information (e.g. name, address, phone number). Users can access this information by e-mailing or writing to us. Upon request we offer visitors the ability to have inaccuracies corrected in contact information or unique identifier information.

How we use your information

For each visitor to glenigan.com, our Web server automatically recognizes the users domain name. We also collect the e-mail addresses of those who communicate with us via e-mail and aggregate information on what pages users access or visit. Information volunteered by the user such as survey information and/or site registrations is also collected. The information we collect is used primarily for internal review and to improve the content of our Web site & service. It is also used to notify users about updates to our service. This information is not shared with other organizations for commercial purposes. If you do not want to receive e-mail from us in the future, please let us know by sending an e-mail to webinfo@glenigan.emap.com.

We do not share or sell our customer list to any third party. If you do receive unwanted email from us all our correspondence offers clear instructions on how to opt out. If you supply us with your postal address on-line or telephone number you may receive periodic mailings or calls from us with information on new products and services or upcoming events. If you do not wish to receive such updates, please let us know by calling us, writing to us or emailing to webinfo@glenigan.emap.com.

Storage methods and duration

Glenigan may store your information in its databases, such as its Customer Relationship database, for reference. The information may be retained and used by Glenigan for a reasonable period, reflecting our need to answer queries or resolve problems, provide improved and new services and any data retention requirements of the law. This means we may retain information after an individual ceases to use Glenigan services or after the individual has ceased interacting with us. Except where the law, authorities or regulatory bodies require us to retain it for longer, we retain Traffic Data for a reasonable period after the Traffic Data was generated.

Passing your information to others in your own organisation
If your employer subscribed to the service on your behalf then we may pass certain information to your employer about your use of the service where your employer has a legitimate reason to receive it. Similarly if you are the point contact person in your organisation for a service, we may pass your contact details to those in your organisation for this purpose.

Passing your information to third parties
Except where the law permits or unless you specifically agree, the Glenigan does not sell or rent your personal data to others outside the Emap group.

Cookies

When you visit an Emap group website(s), Emap group uses “cookie” technology try to make that experience simple, personalised and meaningful. Cookies are small pieces of information which are issued to your computer or any similar device you use to access the internet e.g. smartphone, tablet or other mobile device when you visit a website and which store and sometimes track information about your use of the website.  A number of cookies Emap group use last only for the duration of your web session and expire when you close your browser. Other cookies are used to remember you when you return to the website and will last for longer.

Emap group use cookies to:

• create a specific log-in session for a visitor to a Emap group website in order that page requests by that visitor are delivered in an effective, secure and consistent manner;
• recognise when a visitor to a Emap group website has visited before; this means we can identify the number of unique visitors we receive to the website and allows us to make sure we have enough capacity for the number of users that we get;

ASP.Net_SessionID Log in/log out – a cookie is served when you log in and disappears when you either log out or end your session in your browser. This keeps track of your subscriber access permission allowing you to view all the subscriber only parts of the site which you are authorised to access
.GLEN_AUTH An asp.net Session ID which stores the user session variable to enable remember me functionality. This cookie is set to expire after 99 years.
ARPT This is a technical ‘session’ cookie set by our website to share the number of visitors we get on our site between web servers. This is so the site does not get overloaded and can perform at its optimum potential.

Interception of mail

Glenigan may intercept email addressed to individuals within Glenigan. The reasons we do this are related to security of Glenigan, its staff and others, for detection and prevention of crime and to identify correct recipients or to make sure mail is dealt with during staff absence. We may reject, delay or remove content from emails which have a nature, content or attachments which may disrupt our systems or because they may pose security issues such as viruses. We may also filter out emails which contain certain content on the basis that content is offensive or the email is unwanted or spam. In certain circumstances this may unfortunately result in "innocent" emails being affected but we do try and reduce such occurrences.

Security

Glenigan has developed strict policies governing information technology. These cover areas such as access control, authentication, audit, monitoring, alarms, data storage and back up and transmission standards and environment integrity. We have appropriate security measures in place in our physical facilities to protect against the loss, misuse or alteration of information that we have collected from you at our site.
